Multi-factor authentication (MFA) adds a second check when you sign in to Microsoft 365. As well as your password, you approve the sign-in on your phone using the Microsoft Authenticator app. It takes about 5 minutes to set up.
Before you start
- Your smartphone (iPhone or Android)
- A computer to sign in on
- Your Microsoft 365 email address and password
Step 1: Install Microsoft Authenticator on your phone
Open the app once installed and allow notifications when asked. You'll need these to approve sign-ins.
Step 2: Sign in on your computer
- Go to office.com and sign in with your work email and password.
- You'll see More information required. Click Next.
- On Start by getting the app, click Next, then Next again.
- A QR code will appear. Leave this screen open.
Step 3: Scan the QR code with your phone
- In the Authenticator app, tap + (or Add account).
- Choose Work or school account, then Scan QR code.
- Point your camera at the QR code on your computer screen.
- Your account will appear in the app. On your computer, click Next.
Step 4: Approve the test sign-in
- Your computer will show a two-digit number.
- Your phone will get a notification. Open it and type in the number shown on your computer.
- Tap Yes to approve.
- On your computer you'll see Notification approved. Click Next, then Done.
That's it. From now on, when you sign in you'll be asked to approve it on your phone.
Staying safe
- Only approve sign-ins you started. If you get a request you weren't expecting, tap No, it's not me and contact us straight away.
- Never read your sign-in number out to anyone, including someone who says they're from IT.
- Getting a new phone? Don't delete the app from your old one until you've moved your account over.
Something not working?
- No QR code or "More information required" screen? MFA may already be set up on your account, or not switched on yet. Contact us and we'll check.
- Not getting notifications? Check notifications are allowed for Authenticator in your phone's settings, and that your phone has signal or Wi-Fi.
- Lost or replaced your phone? Contact us and we'll reset your MFA so you can set it up again.
